Financial Transparency
Where do funds come?
At Swan Food Pantry, our mission to support families through hard times is fueled by the generosity of our local community and corporate partners. As an independent 501(c)(3) nonprofit, we rely on a diverse funding base to ensure we can reliably serve over 350 families every week. Our primary sources of support include:
Individual Donations: Contributions from neighbors and community members who believe in our "Care + Love + Financial Donation" mission.
Corporate Sponsorships: Strategic partnerships with local businesses that invest in the stability of our community.
Community Fund Drives: Targeted campaigns, such as our annual fund drive, which allow us to scale our operations and reach more people in need.
Grant Funding & Partnerships: Support from philanthropic organizations and local health resource partners that share our commitment to community outreach.
Every dollar is carefully managed within our operating budget to cover essential food purchases, distribution logistics, and the facility costs necessary to keep our doors open for those who need us most.
How is money spent?
At Swan Food Pantry, we are committed to being faithful stewards of every dollar received. Because we operate as an independent 501(c)(3) nonprofit, we can ensure that the vast majority of our funding goes directly toward hunger relief.
Your financial gifts are generally allocated into four key areas:
1. Bulk Food Procurement
While we receive many physical food donations, financial gifts are our most powerful tool. They allow us to purchase fresh produce, proteins, and dairy in bulk at significantly lower wholesale prices than a typical grocery store. This ensures the 350+ families we serve weekly receive a balanced, nutritious variety of food.
2. Storage & Distribution Logistics
Keeping food fresh requires infrastructure. Funds support the operation of our commercial freezers, refrigeration units, and the pantry space needed to sort and store thousands of pounds of food safely.
3. Community Outreach & Programs
A portion of our funds supports our community outreach in Smith County. This includes the logistics for our weekly distributions and specialized support for families going through particularly difficult "hard times."
4. Essential Operations
To remain a "pillar of the community," we cover modest operational costs such as utilities for our facility, distribution supplies (like the bags and boxes families take home), and the administrative staff costs and tools required to manage our 501(c)(3) compliance and tax-deductible receipting.
Our Promise: We strive to keep our overhead low so that the maximum amount of every dollar goes exactly where it belongs: onto the tables of our neighbors in need.
Can I see financial reports?
Yes, we email detailed reports upon request.
Who manages the funds?
To ensure total transparency and fiscal responsibility, our funds are managed through a multi-tier system of oversight:
1. Board of Directors
As an independent 501(c)(3) nonprofit, Swan Food Pantry is governed by a dedicated Board of Directors made up of local community leaders and professionals. The Board is responsible for approving the annual budget, reviewing financial reports, and ensuring that all spending aligns with our mission to support families in Swan, Tyler, Lindale and the surrounding area.
2. Executive Leadership
Our daily financial operations are overseen by our Administration and Operations Director. They manage the procurement of food, logistics, and facility costs, ensuring that every dollar is used efficiently to maximize our impact for the 350+ families we serve each week.
3. Independent Accounting
We maintain strict record-keeping standards for all individual and corporate donations. This includes regular financial reviews to ensure compliance with federal nonprofit regulations and to provide accurate, transparent reporting to our donors and the IRS.
4. Local Accountability
Because we are a local organization, we are directly accountable to the community we serve. Our financial health is reflected in the thousands of pounds of food distributed every Tuesday and the long-term partnerships we maintain with local businesses and sponsors.
Are donations tax-deductible?
Yes. Swan Food Pantry is a registered 501(c)(3) nonprofit organization. Because of this status, all financial contributions are tax-deductible to the fullest extent permitted by law.
To help with your records:
Receipts: We provide an official tax receipt for every donation, which will be sent to the email or mailing address you provide during the donation process.
Annual Summaries: For recurring donors or those who give multiple times throughout the year, we can provide an annual summary of your total giving to simplify your tax preparation.
